Trips - Terms and Conditions

The following Trips Terms and Conditions form an integral and substantive part of the booking agreement between Hybrid Endurance and the Guest.

'Trip' means any training camp, active tour or any other label to indicate Hybrid Endurance training camps and guided activities in a location purchased through our website. 

‘Guest’ means the person who has purchased a place on one of our Trips.

Payment, cancellation by the Guest and refunds

A deposit of 35% of the total price is required to book and secure a place on the Trip, the remaining 65% balance must be paid before 6 weeks out from the start date of the Trip. If the Guest doesn’t pay the remaining balance in full before 6 weeks out they will loose their place on the Trip and their 35% deposit.  

If the Guest cancels before 14 days after paying their deposit they will get a full refund of their deposit back. After 14 days of paying their deposit if they then decide to cancel before the start of the trip only those who have paid the total amount in full will receive any money back and that money will only be the deposit amount of 35% and not the remaining 65%. Those who have not paid the total amount in full and cancel after the 14 days of paying the deposit will not receive any money back. 

The above terms apply to booking 6 weeks and more out from the trip. Any late booking less than 6 weeks out from the start date of the trip the full amount will be payable immediately to book a place on Trip. The Guest will still be entitled to a 35% refundable amount of the total price should they cancel before the Trip date if they have paid the full amount. 

Payment of the deposit is made by purchasing the Trip on the trip page, select the date and room type and purchase through our store which securely processes the payment through Paypal. The remaining balance will then be payable by transfer either to Hybrid Endurance's Paypal account or Hybrid Endurance's bank account. Details of these will be provided after placing the deposit. 


Cancellation and changes by Hybrid Endurance

In the event that the trip has to be significantly changed or can not go ahead and has to be cancelled by Hybrid Endurance, the Guest will receive notice and have 14 days in which to decide to choose from one of the following options:

Option 1- Accept to receive a full refund of the amount they have paid for the trip to date. Hybrid Endurance will not however be liable and will not have to contribute to any other expenses incurred to the Guest as a result of such cancellation for example the flight and transport costs incurred.  This option 1 refund is subject to events outside of our control causing cancellations please read ‘Events outside of our control’ paragraph below.

Option 2 -Accepting a change to the trip date.

Option 3- Accepting a significant change to the itinerary or trip type with refund of the difference if this trip is now is of less value than the original trip.

Option 4- Purchasing an alternative trip using the value of your booking. If your new booking is more expensive you will be required to pay the difference at the time of booking, if the booking is cheaper we will refund you the difference. 

Events outside of our control

We will not be liable to pay any compensation if we are forced to cancel or in any way change your trip arrangements as a result of unusual or unforeseeable circumstances beyond our control, the consequences of which could not have been avoided even with all due care. These include bad weather, adverse weather and water conditions, marine activity, pollution to waters, road blockages or unsuitable routes, unavoidable technical problems with transport or accommodation, war or threat of war, civil strife, industrial disputes, natural disaster, epidemic or terrorist activity, strikes, riots, government advise and acts of God including pandemics and the like.

Insurance and Documentation

Comprehensive travel insurance is essential and it is a condition of booking that you purchase insurance which includes, but is not limited to, cover for illness, personal injury, medical expenses, emergency medical care, accident cover, emergency repatriation, ambulance, air ambulance, helicopter rescue services, cancellation, lost luggage, loss or damage to personal property, delays, loss or damage to equipment hired or borrowed from us or third parties, legal expenses cover and expenses associated with cancellation or curtailment of your booking for any reason what so ever.

Your travel insurance should also cover you for multi-sport activities and activities specific to your trip including open water swimming, pool swimming, road cycling, mountain biking (if applicable) running, trail running, hiking and any other activity listed on your trip itinerary.

Your travel insurance documents with emergency telephone numbers should be made available to us before your arrival on the Trip. It is your responsibility to provide this to us at least 14 days before you arrive.

Please read your policy details carefully and remember to take them with you on your trip for both yours and our reference.

It is important that the Guest carefully reads all the Trip related documents that are sent by us as soon as those documents are received.  Each Guest is responsible for and undertakes to obtain a valid passport and all necessary visas and any other documentation as may be required for entry into the countries that the Trips takes place. 

EHIC or GHIC card are also worth looking over obtaining, if applicable, before travelling abroad.


No liability against Hybrid Endurance

The Guest releases and indemnifies Hybrid Endurance, and its officers, employees and agents, from any and all claims for damages arising as a result of any accident or injury that may occur on the Trip. The Guest agrees to assume all the costs of medical care and transportation.

You should recognise the inherent risks in the activities you will be participating in and agree to accept complete responsibility for any injury, damage or loss caused by you or to you as a result of participation in those activities. You may be requested to sign a disclaimer when arriving and before starting on the Trip, which outlines your acceptance of the risks as part of participation in the activities on the Trip. This does not remove our legal duty of care but is simply used to highlight your acceptance of the risks inherent in the activities in which you are participating.  We will also highlight these in our official trip meeting at the start of the trip.

Changes to your trip Itinerary once you have arrived on camp

The Trip itinerary listed on our website is to be used as a guide and we can change this as is required. For any significant changes that substantially affect the type and value of your trip as is required please see your options under ‘Cancellation or changes by Hybrid Endurance’ further above.

Bike equipment quality

For trips where the Guest brings their own bike and equipment the Guest agrees that the bicycle and equipment will be in good condition and that they will wear a safety certified bicycle helmet at all times while cycling on the Trip. Failure to wear a helmet will result in the Guest being removed from the Trip. If hiring protective headgear it is our duty to inform you that protective headgear can vary from destination to destination and therefore if we cannot guarantee that it will be provided or will be to the same standard as those available in the UK. We strongly advise you to use your own head gear or purchase head gear that is BSEN 1078 complaint.

Personal health and disclosure

The Guest must make Hybrid Endurance aware of any physical or mental conditions which may require attention and/or professional attention during the Trip and/or may require the use of special equipment, or which may prevent the Guest from participating in the Trip. If Hybrid Endurance believes that certain physical or mental conditions would put the Guest at risk during the Trip, or may put other Guests on the Trip at risk, or would violate the health and safety rules of the Trip, Hybrid Endurance may refuse to allow the Guest to participate in the Trip.

The Guest must provide any relevant health information to Hybrid Endurance prior to the Trip. If the Guest fails to disclose relevant information prior to joining the Trip the Guest may not be allowed to participate in the Trip, or the Guest may be removed from the Trip once it has started. In such event, the Guest will forfeit the total cost of the Trip and the Hybrid Endurance shall have no liability.

The Guest confirms that they are now and will be at the time of the commencement of the Trip in good physical health, generally, and specifically free of any communicable disease and agree to and will comply with the above paragraphs if this is not the case. The Guest agrees to comply with all health and hygiene protocols implemented by the Hybrid Endurance and/or required by any jurisdiction in the specific area of the Trip.

Arrival

You will be notified shortly after booking onto the Trip when your accommodation will be available to you on the day of arrival.

Departure

You will be notified shortly after booking onto the Trip when you must vacate your rooms on the day of departure.

Hybrid Endurance can provide some basic information in regards to your travel to and from your location but has no part in the contract between you and the airline, ferry, airport transfer, car hire or train company.

Hybrid Endurance does not accept responsibility for loss, damage or injury whilst using road or any other forms of transportation to and from our Trips.


Damage to property

Any damage to the accommodation or property of Hybrid Endurance or any third party by the Guest whether accidental or deliberate must be paid in full at the time of the damage.
